Established in 1977 as the Kingston Artists’ Association Inc., Modern Fuel Artist-Run Centre is a non-profit organization facilitating the presentation, interpretation, and production of contemporary visual, time-based and interdisciplinary arts. Modern Fuel aims to meet the professional development needs of emerging and mid-career local, national and international artists, from diverse cultural communities, through exhibition, discussion, and mentorship opportunities. Modern Fuel supports innovation and experimentation, and is committed to the education of interested publics and the diversification of its audiences. In 2015, the organization moved the gallery to the Tett Centre for Creativity and Learning, increasing accessibility and expanding our reach.


Job Description:

Position Title: Operations Director
Start Date: September 2018
30-35 Hours per week
1-year renewable contract
Minimum starting salary $33,000

The Operations Director manages all aspects of the organization’s business operations, including financial management, facility maintenance, gallery administration, staff and volunteer management, and resource development. Reporting to Modern Fuel’s Board of Directors, the Operations Director shares a co-directorship with the Artistic Director and assists with artistic programs and exhibitions wherever necessary. The Operations Director will actively work to build capacity for Modern Fuel, cultivate strong community relations, and implement organizational goals and strategies that enhance the Centre’s position.

The schedule for this position requires the Operations Director to work occasional evenings and/or weekends, according to program or organizational needs.


Requirements:

Operational Management

  • Provide day-to-day general administrative support and organizational duties of the Centre, including: carrying out document and records management; monitoring and completing various internal documents in accordance with policies and procedures of the Centre; and entering data related to operational activities of the Centre
  • Work closely with the Centre's building operations to maintain the cleanliness, safety and good working order of all office and gallery spaces, and coordinate with the Tett Centre Facility Manager on issues that impact daily visitor experience and facility operations.
  • Act as a representative of Modern Fuel on the Tett Centre Board of Directors, within the larger community and partner institutions.
  • Recruit, screen, train, supervise, schedule and coordinate recognition of volunteers for both project-based events and programs in addition to the overall volunteer base
  • Assist with all aspects of identifying and obtaining rental equipment via the New Media Workspace; create and maintain inventory lists of equipment and oversee maintenance of storage areas
  • Work with Artistic Director to deliver communications initiatives, liaise with media
  • Attend monthly Board of Director meetings, reporting on staff and committee matters
  • Plan and coordinate events such as opening receptions, fundraising events and other projects
  • Greet visitors to the gallery, monitor accessibility, and provide excellent customer service
  • Perform off-site errands for the organization on a regular basis

Financial Management

  • Create project-based and operational budgets and schedules and oversee their day-to-day management (including maintaining expense records) to ensure operations are in good order and being completed within budget
  • Prepare and write grants for operations and project funding in collaboration with Artistic Director
  • Research and apply for employment funding through multiple levels of government
  • Maintain accurate records, process payments and deposits, payroll duties, lead annual audit, manage accounts, update CADAC, sit on Finance Committee, prepare and monitor budgets, CRA requirements
  • Maintain membership database and seek to develop benefits offered
  • Formulate creative outreach and development strategies, sit on Fundraising Committee


Qualifications:

  • Demonstrated interest in contemporary art practices and artist-run culture
  • Excellent self-management, organizational, leadership and interpersonal skills
  • Post-secondary degree in the arts or arts management and some relevant experience
  • Strong attention to detail, ability to anticipate and plan ahead, adaptable, and reliable
  • Proven project and financial management skills and knowledge of basic accounting and bookkeeping practices
  • Previous successful grant writing experience
  • Fluency in social media, Microsoft Office, Mac platforms, Adobe Creative Suite and basic CMS website desired
  • Exceptional interpersonal skills, with demonstrated ability to work in a diverse team environment, in addition to a working Board of Directors
  • Willingness to obtain First Aid/CPR and Smart Serve certifications
  • Driver’s license and access to a car is considered an asset
  • Knowledge of a second language is an asset


Additional Information:

Terms:
1-year renewable contract with basic health/dental benefits, 2 weeks paid holidays, and 3 weeks paid vacation. Minimum starting salary $33,000.

Hours:
30-35 Hours per week including Tues-Sat, 12-5pm. Some evenings and weekends (Sunday/Monday) are required.
