JOB POSTING: OPERATIONS COORDINATOR (12 MONTH CONTRACT), HUMBER GALLERIES

20 hours per week, 12 month term (June 2018 to May 2019), possibility of extension
Hourly wage range: $21.21 - $28.28/hour

Humber Galleries seeks an Operations Coordinator to professionalize and perform effective operational procedures which represent best practices within Humber College and public art galleries.

With a focus on finances, the Operations Coordinator will identify and resolve issues critical to Humber Galleries’ strategic and operational success. They will be responsible for strengthening overall smooth operations of Humber Galleries as a department of Humber College and as an organization with galleries in two Etobicoke locations. The successful candidate will set up gallery finance systems and navigate Humber’s financial processes effectively. They will support staff administration including staff meetings, training, and hiring processes. They will address problems from beginning to end and report back on progress.

As such, the role requires a combination of well-honed financial experience and administrative ability as well as fundamental Human Resources skills. Working under the supervision of and in close collaboration with the Curator, Alissa Firth-Eagland, the Operations Coordinator will contribute to Humber Galleries’ finances, operations, and staff administration in the following ways:

Finances

  • Liaise with Curator Alissa Firth-Eagland to design and implement financial procedures
  • Participate in business meetings on behalf of Humber Galleries
  • Improve budget design, tracking, and reporting systems
  • Process and pay invoices
  • Perform forecasting, deposits, journal voucher requests, and budget transfers
  • Adhere to procurement and purchasing policies and procedures
  • Produce budget reports
  • Liaise with Humber Finance, Accounts Payable, and Purchasing

Operations

  • Recommend changes to improve operations and implement approved changes
  • Address and respond to urgent matters at L Space and North Space
  • Lead the development, administration, and maintenance of databases, gallery files, and archives
  • Oversee administration of two offices (North and Lakeshore) to ensure the physical spaces are kept tidy, organized, and in functional working order
  • Track inventory and order supplies
  • Assist with the gathering, analysis, and sharing of statistical information and data
  • Assist with occasional gallery monitoring
  • Manage space bookings
  • Perform other duties as required

Staff Administration

  • Prepare staff meeting agendas, take meeting notes, follow through on post-meeting actions
  • Book travel and assist with expense claims
  • Monitor departmental adherence to Humber College safety protocols
  • Track and coordinate staff training with Health and Safety (AODA, Ladder, WHMIS, etc.)
  • Participate in Health and Safety meetings as required
  • Assist with hiring processes, draft staff contracts
  • Schedule Work Study shifts

Qualifications

  • A post‐secondary certificate in Business Administration, Administrative Services, Office Administration, or Finance is required. An equivalent combination of experience and education in Arts and Cultural Management/Administration will also be considered
  • 3 years of experience in operations and finances required, preferably in the culture industry
  • Strong aptitude for finances, strategic business sense, and proven capacity for discretion
  • Outstanding analytical capability and the ability to synthesize findings
  • Solid understanding of strategic operations within the arts and culture industry
  • Ability to work effectively both independently and collaboratively in a team
  • Superior MS Office and data modelling skills
  • Outstanding verbal and written communication skills
  • Experience working in a postsecondary educational environment is an asset

Hours: 20 hours per week. Applicants must be willing and able to work on location at Humber College’s two campuses (North and Lakeshore) 3 days/week.
